Create and use custom statuses

Custom statuses let you add your own steps under the statuses LSP.expert already provides. For example, add a Paid status under Invoiced to see at a glance which invoiced jobs your client has already paid.

They are available for jobs, outsourced jobs, quotes, invoices and purchase orders.

How they work

  • A custom status always sits under one existing status, its parent status.

  • Picking a custom status moves the item to its parent status. Everything that depends on the main status keeps working as before.

  • A custom status can be archived, but never deleted.

Example: add a Paid status under Invoiced for jobs

1. Go to Settings > Custom statuses. You need the System values permission.

2. Open the Jobs tab. Each status is shown with its badge, and the custom statuses are listed under it.

Next to Invoiced, click Add a status.

3. Type the name Paid, choose a color and click Add.

Paid now appears under Invoiced.

Use a custom status

On one job. Click the status badge of the job (in the list or on the job page) and pick Paid, listed just under Invoiced. The badge now shows Paid. To remove it, pick Invoiced again.

On several jobs. Tick the jobs, click Actions > Update status, choose Paid and click Save.

Outsourced jobs, quotes, invoices and purchase orders work the same way: create the custom statuses in the matching tab of Settings > Custom statuses, then pick them from the status menu of the item.

Filter by custom status

In the Status field of the filters, custom statuses are listed with the others. Choosing Paid shows only those jobs. Choosing Invoiced shows all the invoiced jobs, including the Paid ones.

Manage your custom statuses

- Edit: click the name, or use the ⋮ menu > Edit, to change the name or the color. The change applies everywhere.

- Reorder: drag a status by its handle, among the statuses under the same parent.

- Archive: use ⋮ menu > Archive and confirm. An archived status can't be picked anymore, but stays visible on the items that already use it. Turn on Show archived statuses to see it and Unarchive it.
